The charity which runs Hickling Barn is having its AGM on Monday, September 16 at 7.30pm. The meeting is open to all members of the charity - which is anyone who lives, works or has a business in the parish of Hickling. Please see the official notice and agenda below for more details:

Notice of Annual General Meeting
Members of the Charity are invited to the AGM on MONDAY 16TH SEPTEMBER, 2019 at 7.30 PM
at Hickling Barn, Tate Loke, off Mallard Way, Hickling
1. Welcome and introductions
2. To receive the accounts for the financial year 2018/19
3. Report on the activities of the charity for the year
4. Proposed amendment to the charity's constitution
It is proposed that the constitution be changed to remove the district councillor nominated place and to replace it with a co-opted place. This will bring the board composition to seven nominated places, four elected places and four co-opted places. An independently scrutinised secret ballot of members will take place requiring the approval of a two-thirds majority of members present at the meeting to effect the proposed change.

To receive nominations for trustees - election of trustees
Members of the charity include any residents of Hickling aged 16 or over, any owner of a holiday or second home in Hickling and any owner of a business currently operating in Hickling and their employees currently working in Hickling.
Members will declare their membership of the charity by signing in to the meeting.
Members are welcome to raise motions or items of other business but in order to allow the trustees to administer these,they must be raised in writing to the secretary by the 9th September 2019.
The agenda is limited to those matters set out in the charity’s deed of administration which can be seen on the Hickling Barn website, at Hickling Barn or upon application to the secretary.
Members wishing to stand for election as a trustee must contact the secretary or a trustee for the relevant paperwork,and return their completed application form by 9th September 2019.

Voting at the AGM
Except where stated otherwise, voting at the AGM is by a show of hands by those present and will be subject to an independent count. Except for matters of policy, where a two-thirds majority is required, all matters are decided by simple majority of those present.
Questions and speaking at the AGM
Members may put questions regarding business raised, or speak for or against motions put at the AGM. In order that the meeting can be properly managed, members are requested to notify the secretary/chairman by 9th September of their intention to speak. Questions relating to the business of the meeting received by 9th September will receive a response at the meeting. Questions put later than this or at the meeting, may need to wait until after the meeting for a written response, depending on their complexity.
Elections for trustees
As well as the nominated trustees, four trustee seats are up for open election. If you wish to put yourself forward for open election, please obtain a form from the secretary and return the form by 9th September. Voting for trustees will be by way of secret ballot.
